Building Systems Before the Surge

When early traction hits, the fastest way to stall growth is to run on ad-hoc workflows. Treat every repeatable task—onboarding clients, handling support, fulfilling orders—as a mini-product. Map the steps, define owners, and decide what “good” looks like before demand spikes so you can absorb volume
instead of reacting to it.

Once you know the steps, measure the bottlenecks. Track cycle time, error rates, and handoff delays, then capture the best version of the process in a lightweight SOP that anyone can follow. Keep it in a shared space and version it so improvements stick.

Automate last, standardize first. Start with checklists and templates, then layer in tools like CRM workflows, canned responses, and simple scripts. Schedule a monthly ops review to prune steps, retire hacks, and keep the system lean as you grow.
